Visitor means any person who visits the Website or otherwise engages with our marketing. Personal Information means information that identifies or can be used to identify an individual. PHI means Protected Health Information as defined under HIPAA.

From Visitors and prospective Subscribers: Name, email address, phone number, dental practice name, location, role, and any information submitted through booking or contact forms; IP address, browser type, device data, pages viewed, and usage patterns collected automatically via cookies and tracking technologies.

From Subscribers: Account credentials, billing information, integration credentials for Practice Management Systems (Dentrix, Eaglesoft, Open Dental, Curve Dental, etc.), and operational data needed to deliver the Services.

About Customers (PHI): When delivering Services to Subscribers, we may process patient name, contact details, appointment information, insurance information, and limited treatment-related data. Such information is processed solely on behalf of the Subscriber under a Business Associate Agreement (BAA) and HIPAA regulations.

For our dental practice Subscribers ("Covered Entities"), Agent Enamel acts as a Business Associate under HIPAA. We sign a Business Associate Agreement (BAA) with each Covered Entity prior to processing PHI. We implement administrative, physical, and technical safeguards including encryption at rest and in transit, role-based access controls, audit logging, and workforce training. PHI is processed only as permitted under the applicable BAA and HIPAA. PHI is not used to train AI models or for any purpose outside the BAA without explicit authorization.

Our Services use AI and machine learning to deliver call handling, scheduling, and follow-up automation. Information collected from Visitors and Subscribers may be used to operate, improve, and develop our AI features. PHI received from Subscribers is not used to train, build, or develop AI models unless we have obtained the necessary written authorizations from the relevant Covered Entity.
